Preparing quotes

SEEING WHAT YOUR NUMBERS SAY
Most ERP systems are full of useful signals nobody looks at, because a report would have to be built. An agent allowed to query your sales data answers those questions in plain language:
- Which customers ordered last year and have not this year?
- Which items are declining at customers who are otherwise stable?
- At which customers is margin falling without volume rising?
- Which quotes from recent months were never answered?

Those four questions produce an immediate work list for the coming weeks at most companies.
They require no new software package, only secure read access to data you already have.
WHERE TO START
With the part of the sales process where your people most often do the same thing. At most companies that is the quote, because the same lookups precede it every time.
- How many quotes do you produce per month, and how long does an average one take?
- How much of that time goes on looking things up rather than on the customer?
- Do enquiries arrive in a fixed form, or differently every time?
- Are your price agreements in the system, or in your salespeople's heads?
That last question is decisive. If the agreements are not recorded anywhere, that is the first step, and it is not AI.
ENQUIRIES THAT ARRIVE AS TEXT
Many enquiries arrive as an email with a list, or a PDF with the customer's own item numbers. Retyping those costs time and produces errors. An agent reads them, matches them to your items and sets them up as an enquiry or a basket.
Cross-sell and reordering
For regular customers with a recurring pattern, an agent can flag: this item was normally ordered every two months and has not come through for four. That is worth a specific phone call, and it is far stronger than a general campaign email.
