Willemot is a Ghent-based insurance broker managing the collective insurance programme for members of the ITAA, the institute of accountants and tax advisors. Thousands of practices, each with its own composition, and for every one of them a professional liability premium that depends on dozens of factors.

Willemot goes digital: an intuitive wizard for premium calculation and policy enrolment

The brief

A professional liability premium for an accountancy practice is not a fixed amount. It depends on the legal form, the estimated turnover, the number of directors and their capacity, the number of salaried staff, the self-employed associates (with or without ITAA accreditation) and the claims history.

Until now that meant filling in forms, emailing back and forth, recalculating by hand. Slow for the practice, labour-intensive for Willemot.

The brief was to turn that entire exercise into a self-service flow, without losing the nuances of the insurance regulations.

What used to be a file built on emails back and forth is now a flow of just a few minutes, ending with a signature or a quote in the inbox.

The wizard, step by step

Six steps, each with its own logic. What the user answers at one step determines which fields, and even which steps, appear afterwards.

step 1

The data comes from the CBE

The user enters their company number and the business details are retrieved: name, legal form, incorporation date, registered office. Anyone still in the process of incorporation ticks that box and fills in the rest themselves. Less typing, and fewer errors in the file.

step 2

Accredited or still applying

If the company already holds ITAA accreditation, the membership number and capacity are enough. If not, the accreditation application is started at the same time. In this same step, the user uploads their claims history certificate, or indicates that it will follow later, with the consequences for the premium set out in black and white.

step 3

Every director counts differently

Directors, managing directors and working partners are added one by one, both natural persons and legal entities, each with their own set of fields. If someone already pays a premium through another affiliation, they are not counted twice.

Step 4

The practice's headcount

The number of salaried staff feeds into the calculation. An indicative table helps the user assess which profiles need to be counted here.

step 5

With or without ITAA accreditation

If the practice works with self-employed associates, a block appears for each of them, with or without accreditation, each with its own conditions and coverage rules. If the practice does not, the flow skips this step.

Step 6

The amount, and the next step right away

The annual premium appears on screen, taxes and contributions included. Below it sit the additional offer for ITAA members and the choice that wraps everything up: enrol straight away or receive an electronic quote, both as a pdf, sent to the applicant and to Willemot.

What sits beneath the wizard

A six-screen form looks simple. The complexity lies in what happens underneath.

The insurance regulations turned into code

The premium matrix of the collective policy has been translated into calculation rules. Capacities, headcounts, turnover thresholds and exceptions together produce a single amount, each time following the same logic a file manager would apply.

A flow that adapts

Natural person or company, with or without self-employed associates: the wizard only shows the steps and fields that apply to the applicant. Nobody scrolls past questions that do not concern them.

Connection to the CBE

Company details are retrieved on the basis of the company number, both for the company itself and for directors that are legal entities.

Unlimited repeatable blocks

A practice with two managing directors and a practice with twelve follow the same flow. People are added for as long as needed, each with the right fields for their profile.

Documents in and out

The claims history certificate comes in as an uploaded pdf; the confirmation or quote goes back out as a generated pdf, by email to both the applicant and Willemot.

The result

Willemot now has a platform that explains the offering and handles the sale.

For the ITAA member:

  • A premium on screen straight away, with no wait for a file manager
  • Transparency about what determines the premium, thanks to the matrix provided
  • The choice between enrolling immediately or requesting a quote first

And for Willemot:

  • Complete files instead of half-filled forms
  • Every application calculated according to the same regulatory logic
  • Time freed up for advice rather than data entry
